Privacy Policy — The Ballot Box

The Ballot Box ("we," "us," or "our") operates this public directory website listing officials and candidates from sourced public data. This Privacy Policy describes practices for this site.

1. Information we collect

a) Accounts and submitted information: Candidates, officials and authorized team members may create accounts. We store account email addresses, password hashes, security settings, profile claims and evidence, drafts, submissions and review history to operate the service. Account email addresses and verification evidence are private. Public contact details are separate fields that you choose to submit for publication.

b) Directory content: Candidate and official listings are derived from public sources and partner data feeds; they are not private communications you submit to us through an opt-in form on this site.

c) Cookies and service records: We use session and security cookies for sign-in and form protection. Our hosting and security services process connection information. Application request logs omit private account-link paths and submitted form contents.

d) Publication and retention: Drafts and account claims remain private to the account holder and authorized reviewers. Approved content you consent to publish can appear in the directory with dated editions and source attribution. We retain review and authorization history for accountability; contact us about corrections or account information.

2. Sharing of information

We will not share, sell, rent, or disclose private account or form information to third parties for their independent marketing, except as described in this Privacy Policy or when required by law. We may use hosting, analytics, or security vendors solely to operate the service on our behalf, under contractual terms consistent with this Policy.

Account email

When account email is enabled, we use Amazon Web Services to deliver email verification, requested password resets, account-security notices, team invitations requested by an authorized profile owner, and review-status notifications. Initial account messages use The Ballot Box name and a patriotsinaction.com sender. A directory listing does not enroll anyone in account messages or outreach. Email notifications link to the account workspace instead of including private verification evidence or unpublished answers.

You can stop optional review-status notices and team invitations using the private preference link in those emails, even without an account. Signed-in users can manage preferences for their verified addresses. Stopping cancels waiting messages of that kind; a message already being sent may still arrive. Requested verification, password-reset and account-security messages are unaffected.

We retain a protected address-matching record and your preferences to honor stop requests, including after account removal. That record does not contain the plain-text email address. Re-enabling a preference permits future messages and does not resend canceled messages.

3. Text messaging

This website does not currently collect phone numbers for recurring SMS programs. If we add text opt-in in the future, we will display the disclosures and linked Privacy Policy / Terms required by our counsel and carriers.

4. Third parties & children

Linked sites have their own policies. This site is not directed at children under 13.
